NPR QUICK START
The NEWSPAPER ROUTER (NPR) is designed to help the user efficiently build
and maintain a CUSTOMER DATABASE of newspaper delivery customers. In
addition, it provides the capability to keep track of customer complaints
on a day-to- day basis through the COMPLAINT DATABASE. Another very
important and useful database is the ROUTER DATABASE which is used for the
purpose of producing route lists in the order the papers are to be
delivered. The ROUTER DATABASE also lets the user insert helpful
instructions (directions) between the delivery addresses for the purpose of
making the route lists easier to read and follow. In addition the ROUTER
DATABASE has the ability to accept map records which are used to
automatically place a new customer in the correct route order within the
ROUTER DATABASE. The last database is the CARRIER DATABASE for keeping
name, address and other carrier related information.
The COMPLAINT and ROUTER databases are linked to the main CUSTOMER DATABASE
via the customer's account number, the route number, and the route order
number. Updating one of these fields in any one of the databases
automatically updates them in the other databases. The CUSTOMER DATABASE
has control over the Account Number whereas the ROUTER DATABASE has control
over the Route Number and Route Order. And finally, the CARRIER DATABASE is
linked to the other databases by the route number.
To begin running the program, assuming you installed it to the C:\NPR
directory, type:
C: <Enter> (changes to the C drive)
CD \NPR <Enter> (changes to the \NPR directory)
NPRS <Enter> (runs The NEWSPAPER ROUTER with DP logo)
or
NPR <Enter> (runs The NEWSPAPER ROUTER without DP logo)
At the first prompt to [Enter to continue . . . ] press <Enter>. The first
time you run the program a help window called Installation will appear.
When you are done reading it press <Esc> to exit the help system and go on.
After pressing <Esc> a second help window named Program Overview will
appear. It outlines some of the information discussed in this section.
Press <Esc> when you are done reading it. Next, if you do not have a mouse
installed, a message window will say, "MOUSE NOT INSTALLED". If so, this
is okay as the program will work fine without a mouse. Whenever a message
window pops up on the bottom line, of the window you are working in, you
can press any key once to remove it sooner than the 4 seconds it would
normally stay on the screen.
The next window will ask you to {Enter PERSONAL password}. The default
password is NPR which you must use until you change it or deactivate
passwords altogether (see PASSWORDS). Press <Enter> to accept NPR as the
password. Next you will be prompted with {Enter date}. If the default date
is correct press <Enter> otherwise type in the correct date followed by
<Enter>.
[Handle files in Save Mode? Yes No] will be the next prompt. Selecting
[Yes] (it is highlighted so simply press <Enter>, or type <Y>) will cause
the program to run a little slower when saving records to the disk but it
will guarantee that little or nothing will be lost if the power were to go
off in the middle of running the program. You should normally choose this
mode. If you select [No] (press <N>, or use the arrow key to highlight it
then press <Enter>), disk updates will be faster but you may lose some
recently entered data and you will have to run the reconstruct routine if
the power goes off or your computer locks up somehow. For small databases
choosing [No] is an acceptable alternative as the reconstruct routine will
not take too long to run. On large databases it may take one hour or
longer to run, so it is recommended you select [Yes].
If you have not installed the demo data files or if you erased the demo
data files, the next prompt will be [Data files do not exist. Create new
ones? Yes No]. Select [Yes] (it is highlighted so simply press <Enter>,
or type <Y>). If you select [No] (press <N>, or use the arrow key to
highlight it then press <Enter>) the program will abort and you will be
returned to DOS.
Using the Menus
At this point you will be placed on the [Database] menu on the main menu
bar. Use the <Left> and <Right> arrow keys to move between menus on the
menu bar. Press <Enter> to select the highlighted menu. Use the <Up> and
<Down> arrow keys to highlight the desired menu item, and press <Enter> to
select. As a shortcut, simply press the highlighted letter in the desired
menu item. To leave the menu (or sub-menu), press <Esc>.
Note that the menu functionality is identical to other selection methods
throughout NPR, from simple prompts to Browse Windows--use the arrow keys
to highlight the desired item, and press <Enter> to select; as a shortcut,
press the highlighted letter in the desired item (where applicable).
Building the Router Database
At this point the user should set up the ROUTER DATABASE so that it can
generate new route order numbers when adding new customers to the CUSTOMER
DATABASE. The necessary steps for this initialization are described below.
The user should begin by placing at least two Direction records in the
ROUTER DATABASE for each delivery route that currently exists. This is
done by the following commands:
1. Select the [Database] menu on the main menu bar.
2. Select the [Router] menu item.
3. Select the [Update] menu item. This will put you in
the Router Browse Window.
4. Press <F2>-Add route command to add a
new direction. This will bring up the Router Entry
Window.
5. Type in the route number (1-998 [do not use 0 or 999])
in the {Route No} field.
6. Type 000000 for the {Route Order} number.
7. Skip over the {Account No} field and place the cursor
on the {Directions} field.
8. Type in the two words "FIRST DIRECTION" in the
{Directions} field, or press <F10> and
<PgDn><PgDn> and choose the "FIRST DIRECTION" direction
from the pick list.
9. Press <CtrlEnter> to save the record.
Repeat steps 4 through 9 for each delivery route you will have in the
database. Then repeat steps 4 through 9 for each route using 999999 in
step 6 instead of 000000 and "LAST DIRECTION" in step 8 instead of "FIRST
DIRECTION".
When you are done adding the two directions for each route press the <Esc>
key to quit working on the ROUTER DATABASE. Then press <Esc> two more times
to get back to the main menu bar. Select the [File] menu, and the
[reConstruct] menu item. Choose to [Continue with reconstruct] and select
the final [Yes] to continue. This routine will set up the ROUTER DATABASE
for route order number generation when adding new customers to the CUSTOMER
DATABASE. To add automatic route order number generation (auto-placement)
see Add Route Order Map Record further on in this manual.
Building the Customer Database
Next the user should begin building the CUSTOMER DATABASE. If there is any
possibility that you can obtain an ASCII customer database file from the
newspaper company's main office read the section entitled Merge Customer
ASCII Database before proceeding. If you were able to load your customers
from an ASCII database file skip to the section entitled Listing Database
Information. From the main menu bar select the [Database] menu, the
[cUstomer] sub-menu, and the [Update] menu item. This will put you in the
Customer Browse Window. Next press the <F2>-Add customer command. You
will be prompted to either [Use last] or [Clear fields]. Select [Use last]
to avoid the need to retype in the same {Address}, {City}, {State}, {Zip
Code} and other fields which normally remain unchanged from record to
record. Use [Clear fields] to blank out all the fields.
At this point enter the new customer information as prompted by each data
field in the Customer Entry Window. Set the {Route No} to 000 and leave
the {Route Order} field blank. When you are finished press <CtrlEnter> to
save the new record or <Esc> to quit without saving the new record.
If you pressed <CtrlEnter> then the next prompt will be [Pick route order?
Yes No]. Selecting [Yes] will bring up the Pick-A-Route Window to the
ROUTER DATABASE. Selecting [No] will leave the {Route Order} field blank
so that you can later assign it a number from the Router Browse Window. If
you choose [Yes] place the highlight bar on an existing record in the
ROUTER DATABASE Pick-A-Route Window which you want the new record to come
BEFORE (i.e. above or with a lower value) in route order. The program will
then calculate the {Route No} and {Route Order} number for you and place
them in the corresponding fields in the CUSTOMER DATABASE. Whenever the
{Route Order} numbers get so close that there is no more room to add a new
one, run the <F8>- More [Renumber current route] routine. You may also
change the {Route No} and {Route Order} by hand by pressing <Enter>-Mod
(Modify a Route record) while in the Router Browse Window (select
[Database], [Router], then [Update] from the main menu).
Complaints are added in the Complaint Entry Window from the Customer Browse
Window by pressing <F9>-Cmpt when the highlight bar is on the customer you
want to add a complaint for. Complaints are added into the database by
customer {Account No} and the system {Date} of "TODAY" which was entered
when the program was started. "TODAY" may be changed by pressing <AltD>.
The current value of "TODAY" is displayed in the upper left-hand corner of
the screen.
The {Stop Date}, {Start Date}, {Restart Date} and {Change Date} can be
changed in the Customer Entry Window by pressing <Enter>-Mod for Modify
when the highlight bar in the Customer Browse Window is on the customer you
are about to update. Use the arrow keys or mouse to move to the date field
you are going to change. Then press <F10> to have the "TODAY" date
inserted or just type in a date by hand. The {Status} field will
automatically be updated to Active or Inactive according to the date of
"TODAY" and the other dates. See the section on DATE/STATUS INTERACTION.
Listing Database Information
You may list daily counts of papers, bags and labels by selecting from the
main menu the [Database] menu, the [cUstomer] sub-menu, the [Reports] sub-
menu, and the [cOunts] menu item. Select [Yes] to continue then either
[Short form], [Day form] or [Long form] followed by the listing date.
List all Stops, Starts, Restarts, Changes and Complaints for each route on
a given date (Carrier Mail) by selecting from the main menu the [Database]
menu, the [cUstomer] sub-menu, the [Reports] sub-menu, and the [cHanges]
menu item. Select [Yes] to continue then [Together] or [Separate] followed
by the listing date.
Print a route throw list by selecting from the main menu the [Database]
menu, the [Router] sub-menu, and the [Update] menu item. Make sure that
the ROUTER DATABASE key is set to |Route Order| - if not or you're not
sure, press the <F5>-Key and pick |Route Order|. Next place the highlight
bar on the first record you want the listing to start with. Then press
<F6>-Lst for List. The Low Search Limit Entry Window prompt will show the
{Route No} and {Route Order} for the record you highlighted. Press
<CtrlEnter>. Now the High Search Limit Entry Window will have the same
{Route No} and 999999 for the {Route Order}. Pressing <CtrlEnter> again
will select all of the addresses and directions from the Low Search Limit
to the last record with the same route number. Example: Low Search Limit
= 001-000000 and High Search Limit = 001-999999. This will print all of
the active Route 001 addresses and directions without having to know what
the Route Order number is for the last record on Route 001. You may modify
the Low and High Limits to list any range you desire. The "9" character is
the highest numeric character for high limit purposes and the 0 character
the lowest. Next you will need to select [Narrow list] followed by [Right
justified] followed by [All types] followed by [Printer]. This will print
a list which can be folded into a 4.25 by 9 inch throw list for your
carriers. The last page of the listing will show the totals for each kind
of service including totals for bags and labels.
